Dog daycare software is there to answer one question: how many dogs are in today, and which days the regulars already own. Overnight kennels are a different job — see dog boarding software.
This is for daycare and mixed yards in the UK and Ireland. A licence, if you need one, comes from your local authority. Software stores the record. It does not grant the licence.
A day is not a night
Boarding sells nights and runs. Daycare sells a Tuesday, a Wednesday, a half-term week. The same dog can come every Wednesday and never sleep over.
If the tool only understands “arrival date / departure date”, a regular becomes a one-night stay you have to fake. Places get counted twice, or not at all.
What you actually need:
- a cap per day, not per run; - a dog booked “Wednesdays only” without a departure date; - drop-off and pick-up windows (8:00–9:30, 16:00–18:00), not a hotel night; - one file for that dog: name, vet, vaccine date, who collects.
The regulars are the business
Most daycare money is the same dogs, the same weekdays. The diary has to show that before a new enquiry lands.

A new client on a full Wednesday gets a no, or a different day. They do not get a place you also promised to a regular.
What to check before you leave the whiteboard
1. Book two dogs on the same Wednesday when only one place is left. The second must fail. 2. Book a Wednesday regular for the next eight weeks. It must not look like eight overnight stays. 3. Mark yourself off next Monday. The online page must not still offer Monday. 4. Put a vaccine date in the file. The reminder has to come from that date, not from your memory. 5. Run this on a real half-term week, not on an empty demo.
Half-term is the test
February looks fine. The last week of October does not. Parents book the whole week in one message, staff are off, and the usual Wednesday dogs still expect their day.
Count each day on its own. A dog in Monday to Friday is five days of capacity, not one booking. If the software cannot show that, you will overfill Thursday because Monday looked quiet.
What this is not
A kennel tool can run daycare if it has a separate day service and a separate cap. Two products, one for nights and one for days, means two places to forget a dog. One diary, two services, is calmer when you do both.
Trainer software, built for a 60-minute visit, will not hold twelve dogs in a yard. Walking software will not hold a full-day place. Judge the tool on the 8am gate, not on the feature list.
Questions people actually ask
When is a spreadsheet enough?
A handful of regulars and no online booking. The moment owners book themselves, or you pass eight dogs on a Tuesday, the sheet and the WhatsApp diverge.
Do daycare and boarding need two systems?
Only if you do both and the tool cannot split day places from night places. If you only do days, do not buy a kennel grid and pretend.
Who checks the vaccines?
You do, at the gate. The software can store the date and nag you. It cannot look at the dog.
Can a regular skip a week without losing the slot?
Yes, if the diary has a hold for that weekday and a way to free one date. If “skip next Wednesday” only lives in a message, that place will be sold twice.
